Operations Supervisor Reports To: Superintendent

Employment Status: Full-Time, 12-Month

Work Location: Mt. Vista K-8 School and District Facilities

 

Position Summary

The Operations Supervisor is responsible for overseeing the District's maintenance and custodial operations and ensuring that school facilities, grounds, equipment, and related systems are maintained in a safe, clean, functional, and efficient condition. The Operations Supervisor provides direct supervision and direction to maintenance and custodial staff while also performing hands-on maintenance, repair, and preventative maintenance duties throughout the District's K-8 campus. The position works closely with the Superintendent, District staff, and outside vendors to identify facility needs, prioritize work, coordinate repairs and services, maintain appropriate records, and ensure compliance with District policies and applicable safety requirements. The Operations Supervisor serves as a representative of the District when working with contractors, service providers, and other outside vendors and is expected to conduct all interactions in a professional manner that reflects positively on the District.

 

Essential Duties and Responsibilities

 

Supervision and Operations

 

Supervise, direct, and evaluate assigned maintenance and custodial personnel. Develop and coordinate daily, weekly, and seasonal maintenance and custodial work schedules. Assign work orders and monitor completion of assigned duties. Inspect completed work to ensure appropriate quality, safety, cleanliness, and functionality. Communicate facility and operational needs to the Superintendent. Assist the Superintendent in establishing priorities for maintenance, repairs, improvements, and facility projects. Respond to facility-related emergencies and urgent maintenance needs. Promote a safe, professional, and respectful work environment. Ensure maintenance and custodial employees follow District policies, procedures, safety practices, and applicable regulations.

 

Maintenance and Facilities

 

Perform hands-on maintenance and repair work throughout the District's K-8 campus and other District facilities as assigned. Conduct routine inspections of buildings, grounds, equipment, and facility systems. Perform and maintain preventative maintenance schedules and records. Identify potential maintenance issues and recommend corrective action before problems become more significant or costly. Perform or coordinate routine repairs involving plumbing, electrical systems, HVAC, carpentry, painting, doors, locks, fixtures, furniture, grounds, and other facilityrelated systems, as qualified and permitted. Maintain tools, equipment, supplies, and maintenance areas in an orderly and safe condition. Assist with preparation of facilities for school activities, events, athletics, and special programs. Assist with seasonal maintenance and campus preparation. Monitor campus safety and facility conditions and promptly report hazards or deficiencies to the Superintendent.

 

Vendors and Contractors

 

Serve as the District's primary operational contact with outside maintenance, repair, construction, and service vendors as assigned by the Superintendent. Coordinate and monitor vendor work performed on District property. Assist with obtaining estimates and coordinating service calls. Review completed vendor work and communicate concerns or deficiencies to the Superintendent. Ensure vendors comply with District requirements while working on campus. Maintain professional relationships with vendors and service providers. Provide the Superintendent with recommendations regarding vendor performance, facility needs, and potential improvements.

 

Purchasing and Record Keeping

 

Complete and submit required purchasing paperwork, purchase orders, invoices, work orders, and related documentation in accordance with District procedures. Assist with ordering maintenance, custodial, and facility supplies as authorized. Monitor inventory of maintenance and custodial supplies and notify the Superintendent of anticipated needs. Maintain accurate preventative maintenance records, inspection records, work orders, equipment records, and other required documentation. Prepare reports and provide operational information to the Superintendent as requested. Assist in tracking maintenance expenditures and identifying opportunities for cost savings. Maintain appropriate documentation for contracted services, repairs, warranties, and facility equipment.

 

School Campus Responsibilities

 

Maintain a professional presence on the K-8 school campus at all times. Recognize that school operations occur in an environment with school-aged children and conduct oneself in a manner appropriate for a school setting. Follow all District policies and procedures related to employee conduct, student safety, confidentiality, campus access, and interactions with students. Although the position does not involve direct instructional responsibility or routine supervision of students, maintain appropriate professional boundaries with students and immediately report concerns regarding student safety or welfare in accordance with District procedures. Support a clean, safe, welcoming, and well-maintained learning environment for students and staff.

 

Qualifications

 

Required High school diploma or equivalent. Demonstrated experience in facilities management, building maintenance, custodial operations, construction, or a closely related field. Demonstrated knowledge of general building maintenance and repair. Ability to supervise, direct, and work collaboratively with maintenance and custodial employees. Ability to perform physical maintenance duties and operate common maintenance tools and equipment safely. Ability to prioritize multiple maintenance and operational needs. Ability to maintain accurate records and complete purchasing and administrative paperwork. Ability to communicate effectively and professionally with employees, District administration, vendors, contractors, and members of the public. Ability to work independently and exercise sound judgment. Successful completion of required background screening and fingerprint clearance requirements, as applicable. Ability to comply with all District policies and procedures.

 

Preferred

 

Experience working in a school, public agency, or other institutional facilities environment. Experience supervising maintenance or custodial personnel. Knowledge of preventative maintenance practices and facility management systems. Experience coordinating outside contractors and service providers. Experience with purchasing, inventory management, work orders, and maintenance record keeping. Relevant trade certifications, licenses, or technical training. • Knowledge of Arizona school facility operations and safety requirements.

Maintain accurate and timely records. Communicate clearly and professionally. Establish effective working relationships with employees, administrators, vendors, contractors, and community members. Maintain confidentiality when appropriate. Exercise good judgment and respond appropriately to emergencies. Work effectively in a school environment while maintaining appropriate professional boundaries with students.

 

Physical Requirements

 

The employee must be able to perform the essential functions of the position with or without reasonable accommodation. The position requires frequent standing, walking, bending, stooping, reaching, climbing, lifting, carrying, pushing, pulling, and working in a variety of indoor and outdoor environments. The employee may be required to lift and move equipment, tools, supplies, and materials of varying weights. The position may require work on ladders, in mechanical areas, outdoors, and in other environments associated with building and grounds maintenance.

 

Work Environment

 

The Operations Supervisor works primarily on the District's K-8 campus and may be exposed to varying weather conditions, dust, noise, mechanical equipment, cleaning products, and other conditions commonly associated with facility and maintenance work. The position operates in an active school environment and requires regular presence on campus during the school day when students and staff are present. The employee is expected to maintain professional conduct and appropriate boundaries at all times and comply with District policies, procedures, safety requirements, and applicable laws and regulations.

 

Supervision

 

The Operations Supervisor works under the direction and supervision of the District Superintendent. The position provides direct supervision to assigned maintenance and custodial personnel. The Superintendent will establish overall priorities, expectations, budgets, and operational direction. The Operations Supervisor is responsible for carrying out assigned responsibilities, coordinating daily operations, supervising assigned personnel, and keeping the Superintendent informed of significant maintenance, safety, personnel, purchasing, vendor, and facility matters.

 

Terms of Employment Twelve-month, full-time position. Salary established annually by the Governing Board in accordance with the District's adopted salary schedule or employment agreement. Eligible for District-provided employee benefits in accordance with District policy. Continued employment is contingent upon satisfactory performance and compliance with District requirements. Successful completion of all required background checks and fingerprint clearance requirements is required. Employment is subject to applicable Arizona law, District policy, and Governing Board-approved terms and conditions of employment.
